• Race Administration: We collect names, dates of birth, BC numbers, and club details via Google Forms to manage race categories, start sheets, and league standings.
• Safety: We collect emergency contact names and phone numbers for use in the event of a medical incident or emergency during a race.
• Communication: We collect names and email addresses to send league updates, venue changes, and results via Kit (formerly ConvertKit).

2. Access and Security: We take data security seriously. Access to full registration data is strictly limited:

• Committee Access: Full registration files are only available to designated committee members for league administration (e.g., managing standings or correcting entry errors).
• Race Day Access: On event days, relevant rider data is made available to race officials only for the purposes of coordinating that specific race.
• Storage: All league data is stored securely within Google Workspace.

3. Our Service Providers: To run the league efficiently, we use the following “Data Processors”:

• Google Workspace: For registration forms and secure data storage.
• Kit: For our email newsletter and announcements.
• IONOS: For our official league email hosting.

4. Photos and Media: As cyclocross is a public spectator sport, photos and names of competitors may be published on our website or social media. If you have specific privacy requirements regarding photography, please contact us at info@westerncx.net.

5. Your Rights: You have the right to access your data, request corrections, or ask for your data to be deleted. You can unsubscribe from our emails at any time using the link in the footer.
